Virtual Assistance - in a nutshell

Virtual assistants work with multiple clients, which makes them quite different from regular employees, who typically work for one boss.  Startups and small business owners usually have fewer resources than larger, established businesses. After all, there’s a lot of work to do when you’re starting a business!  Hiring a virtual assistant can help address some of these startup issues and often costs less compared to onsite employees.

With a virtual assistant you have all of the benefits of a professional assistant, without the operational overheads. No PAYE, sick leave, superannuation, office space, training costs, insurance or equipment required!

A Virtual Assistant (or VA) is an individual who provides certain services for your business from a remote location.  The virtual assistant industry (yes, it IS an industry) covers many disciplines, sometimes referred to as ‘outsourcing’, and include services such as marketing and social/digital media promotion, website building and design, copywriting, book-keeping, sales lead generation etc. and, more commonly, associated with general office administration support.

VAs are professionals who work from their own home office or a leased office space (and occasionally in their clients’ offices when the need arises) saving time and money for their clients. Often working with executives, CEOs and business owners, VAs such as myself have the added benefit of flexibility to scale up or down depending on our clients’ needs.

Hiring a virtual assistant has become a strategic tool in keeping your business competitive. In the current climate (post-pandemic) many companies and business owners are either working from home part-time or relocating themselves to a home office – we are in an on-line world now, more so than ever before.  It’s supposed to save us time, but everyone seems to be drowning in emails, zoom calls and online meetings – instead of spending their time on their business, planning and generating income.  Allowing a virtual assistant to take control of on-going administrative tasks, ensures they have the time to do just that.

Speaking from a personal perspective, just like an executive assistant, a virtual assistant is on hand to manage vital administrative tasks to help you realise your business objectives. Tasks include, but are not limited to, proofreading and editing your website, reports, proposals, documents or important emails; transcription; managing your calendar and emails; arranging your travel schedule and itineraries; planning and coordinating events; creating PowerPoint presentations, and designing e-Newsletters.

Whilst many executives can only dream of having a full time executive assistant, a virtual assistant offers you individualised services to support your business objectives, when and where you need it most. This helps you to improve and maintain efficiency, organisation, systemisation, record keeping, internal and external communications, and planning initiatives.

You may not need us all the time, but we are there when you do!

Almost anyone could benefit from a virtual assistant! I pride myself on getting to know you and your business so that I can anticipate your needs, spot problems before they happen and manage the tasks and to-dos that make your business productive and profitable.

You may just need me to do one task on a regular basis.  Overflowing email inbox? No problem, I’ll manage that for you.  Website need updating?  I’ll update it for you.  No job is too big or too small – but if it saves you just one hour a day, that’s more than 20 hours of free time per month!

Almost anyone could benefit from a virtual assistant!  You may initially feel like you are in control, but are some of the things you do the best use of your time?

Some business owners delegate because they are extremely busy and need to spread the workload.  Others would prefer to spend their time on other aspects of their business – like doing more billable work and raising revenue – and leave someone else to manage those niggly day-to-day tasks for them.

Because every person and every business is different I offer a free consultation and no obligation personalised service quote. This is usually the best place to start so that we can work out if I am a good fit for your needs.

During my career I’ve worked with executives who have never had an assistant before.  The key emphasis I make with all the work I do, is COMMUNICATION.  Without it we become inefficient and make incorrect assumptions.

I don’t do sales calls or lead generation, book-keeping or financial accounting, social media, e.g. writing blogs etc. on Facebook, Twitter or Instagram.  There may be other things too, but it doesn’t hurt to ask.

I leave certain things to the experts in their field!  My expertise lies in bring order to chaos – I can actually do most things, but I just choose not to.  I love what I do and my passion comes through in the quality of my work.  I’m just not a lover of numbers or social media.

However in some cases, I do collaborate with experts, e.g. audio/visual advertising and promotion.  So just talk to me and I will find a way to help you or point you in the right direction.

Each package and every quote includes all client phone calls, emails, local travel and meetings so that you don’t get any nasty surprises when you open your invoice. I make sure to let you know when you are reaching your time quoted, so that you can decide how best to proceed. I am always happy to extend packages and add extra hours should you require it, so I provide another quote accordingly before continuing with the work. I ensure we work together as business partners, so you feel fully supported and up to date with all billing and payment decisions.

Please note that all payments are in advance once the work scope has been agreed.

I recommend contacting me with your questions and any ideas about how I might be able to help you. Try to break down the level of support you think you might need into hours or tasks so that I have the most in-depth information possible. We can then arrange a free consultation at a time that suits you, so that we can further discuss how I can help you. This ensures you receive the most accurate no obligation personalised service quote possible.
